Agent Forge User Guide
Product Overview
Agent Forge (Agents Workshop) is a multi-agent (Multi-Agent) collaboration and orchestration platform.
In short, here you can:
- Create AI agents (Agents), setting a role, personality, and working pace for each agent.
- Group multiple agents into a Board, so they can divide work and collaborate to complete tasks.
- Combine different Boards into a Board Group to support different business scenarios.
- Use the War Room to observe agents' work progress and interactions.
Note: The features actually visible on the page may vary depending on your role, Board Group permissions, and menu permissions. If a menu mentioned in this guide does not appear on your page, it usually means your current role or permissions do not allow access to that feature; please confirm with your organization administrator.
Before you begin, please prepare:
- System URL: Request it from your administrator (or directly from our company's relevant personnel).
- Invitation code: Issued uniformly by our company.
- Browser: Any common browser works, such as 360 Speed or Google Chrome.
- Confirm your role: Confirm with your administrator or our company's relevant personnel whether you are an administrator or a regular member.
Registration & Login
Registration with Invitation Code
Path: Open the system URL →「Register」page
- Go to the registration page and fill in the following information in order:

- Click the「Register & Log In」button.
- The system redirects to the profile page: enter your name (customizable) and time zone (Shanghai is recommended), then click「Save Profile」to complete registration.
Note: After successful registration, the page automatically redirects to the War Room.
Exception handling:
- Invalid invitation code: request a new invitation code from your administrator.
- Phone number already registered: this phone number already has an account. Please log in directly or register with a different phone number.
Log In
Path: Enter the system URL in the browser address bar
- Open the system URL provided by the administrator or our company.
- On the login page, enter either phone number and password, or email and password (choose either one).
- Check the service agreement and click the「Log In」button.
- After successful login, the page redirects to the War Room.
Exception handling:
- If it shows "Incorrect phone number or password": check whether the phone number is correct, or confirm whether it has been registered.
- If it shows "Incorrect email or password": check whether the email is correct, or confirm whether it has been registered.
- Forgot password: click「Forgot Password」and enter the registered phone number; you will be redirected to a page for entering a new password. Enter the new password and click「Reset Password」to reset it.
Roles & Permissions
The system has two types of organization roles:

| Member (member) | Use the pre-configured Board Groups and Agents, mainly operating in the War Room |
In addition to organization roles, administrators can also set two types of permissions:
- Menu permissions: determine which feature entries members can see.
- Board Group permissions: determine which Board Groups members can read or edit.
Note: Therefore, even for the same role of member, different accounts may see different menus and data.
Quick Start
In the Agents Workshop, different roles need to do completely different things:
If you are a standard user, the Board Groups and Agents are all pre-configured by the administrator; you only need to focus on the War Room and Files. Please follow the steps below to get started.
Standard User: Starting from the War Room
Step 1: Log In
Path: Enter the system URL in the browser address bar
Open the system URL provided by the administrator and log in with your registered account and password. After logging in, you will land on the War Room page by default.
Step 2: Operating the War Room
The War Room is your main place for communicating with Agents. The page is laid out from top to bottom as follows:
- Top Navigation Bar: language switching, user menu
- Tab Bar: switch between「Timeline Collaboration Matrix」and「Dynamic Dashboard」
- Board Group Selector: a dropdown menu for selecting the business scenario
- Timeline Collaboration Matrix (swimlane diagram): shows the flow of messages between Agents
- Message Area: shows the full conversation content and Agent replies
- Bottom Input Area: attach files, enter messages, send
Note: For the complete page layout and the detailed functions of each area, see Section 5.1 War Room in Chapter 5.
Step 3: Selecting a Business Scenario
Path: Top right of the War Room page → Board Group dropdown menu
In the Board Group menu at the top of the page, select the Board Group that matches your current needs; that is the business scenario.
Each Board Group corresponds to a business scenario, for example:
- Urgent Orders & Scheduling
- AIoT Device Anomaly Monitoring
- Energy & Carbon Emission Management
- Smart After-Sales Service
- Supply Chain & Procurement
- AOI Quality Management
- Production & Sales Coordination
- Order-to-Delivery OTD
After switching the Board Group, the Timeline Collaboration Matrix, Message Area, and Dynamic Dashboard will all switch to that Board Group's content.
Tip: Not sure which one to choose? Board Group names usually directly reflect the business scenario, so just pick the one whose name best matches your needs. If the list is empty, contact your administrator to confirm that you have permission for the corresponding Board Group.
Step 4: Communicating with Agents
Enter your request or question in the bottom input box and send it:
- Ask directly: describe your needs in natural language, for example「Help me check today's inventory anomalies」.
- @ Mention a specific Agent: enter
@and select the Agent to notify, similar to @ mentions in group chats, to ensure the corresponding agent receives the message. - Send attachments: click the「Attach File」button to upload a file; Agents can read and process the attachment content.
After clicking「Send」, the message appears in the Message Area and the Agent starts processing it.
Step 5: Viewing Agent Replies
After you send a message, the Agent automatically processes it and replies:
- Timeline Collaboration Matrix: arrow lines show the flow of messages between Agents, so you can see which Agent is responding and what it responded.
- Message Area: shows the full conversation content, including Agents' text replies. Next to each Agent message, there are a「Hard Stop」button (to interrupt that Agent's current work) and a「Favorite」button (to bookmark that conversation).
- Dynamic Dashboard: click the「Dynamic Dashboard」tab at the top to switch to it. When an Agent generates charts, metrics, or status cards, they are automatically displayed in the dashboard area.
Tip: You can enter "Please generate an order analysis chart on the Dynamic Dashboard for me" to have an Agent generate a visual chart.
Step 6: Ongoing Follow-up and Intervention
During task execution, you can do the following at any time:
- Monitor progress: keep track of each Agent's work progress and collaboration status in real time via the Timeline Collaboration Matrix.
- Add instructions: keep sending messages in the input box to add requirements details or adjust direction.
- Filter messages: click「Favorites Only」in the toolbar to show only favorited messages.
- Interrupt conversations: click「Stop All」to interrupt all replies currently being generated.
- Adjust text size: click「Adjust Text Size」to enlarge or reduce the text size in the Message Area.
Tip: The War Room is ideal for continuous attention during critical task execution. You don't need to keep watching the page — Agents will automatically complete the tasks assigned to them. Just come back to check the results when needed.
Administrator: System Configuration
If you are an administrator, you need to complete the following 7 configuration steps in order before standard users can use the War Room normally:
It is recommended to follow this order so that everything can be linked up step by step.
Step 1: Configure Models (Model Maintenance)
Path: Left navigation → Management → Model Maintenance
- Model settings: in the「Model Settings」area, click「Add Model」.
- In the pop-up dialog, select the provider, Model ID protocol, and enter the「API Key」, then click「Add Model」.
Step 2: Configure the Organization (Add Members and Set Permissions)
Path: Left navigation → Management → Organization
- Click the「Add Member」button to go to the add page.
- Enter the member's phone number, select the role, and configure menu permissions and Board permissions.
- Click「Save」.
The added members are displayed in the member list.
Caution: The「Manage Permissions」option on the list page can remove members. Before removing a member, please make sure their responsible tasks and permissions have been handed over.
Step 3: Create a Board
Path: Left navigation → Collaboration Resources → Boards
- Click「New Board」.
- Fill in: Board name (required), select Board Group (optional; can be linked later), description (required).
- Click「Save」.
The newly created Board and its Board Group (pending configuration) appear in the Board list; they can be edited or deleted.
Guided Feature Setup (available in the Growth, Business, and Enterprise editions; not available in the Foundation edition)
The guided setup is a preconfigured configuration wizard that helps you quickly complete the injection rule configuration for a Board through a Q&A process. It writes the injection rules (Injection Rules) automatically, so you don't need to fill them in manually item by item.
Path: Board list → the「Edit」button of the corresponding Board → the「Start Guided Setup」button
Steps:

In the Board list, click the「Edit」button of the corresponding Board to enter the edit page.

On the right side of the notice bar at the top of the page, click the「Start Guided Setup」button.

A guided setup dialog appears and automatically generates questions based on the Board description you entered (e.g., what type of content does this Board handle).

Select the option that best fits your business needs, then click「Next」.

Answer all the questions in order until the guided setup is complete.

The system automatically writes the guided results to the Board's injection rules.

After the guided setup is complete, the configured results appear in the injection rules, and Agents will work according to the rules set by the guided setup.
Note: The questions differ for each Board and are generated automatically based on its description. After the guided results are written to the injection rules, you can still adjust them manually in the injection rules. To reconfigure, click「Start Guided Setup」again.
Step 4: Create a Board Group and Link the Board
Path: Left navigation → Collaboration Resources → Board Groups
- Click「New Board Group」.
- Fill in: Board Group name (required), description (optional), Board (optional; link the Board created in Step 3).
- Click「Save」.
The newly created Board Group appears in the Board Group list and can be edited or deleted.
Step 5: Create Agents (Agent Workshop)
Path: Left navigation → Management → Agent Workshop
- Click「New Agent」.
- Fill in the basic configuration: Agent name (required), role (e.g., Generalist), Board (required; select the Board created in Step 3), emoji, communication style, and interval.
- Click「Save」.
The newly created Agent appears in the Agent list with its status shown as「ONLINE (Online)」.
Caution: An Agent showing「provisioning」means it is being configured, and an Agent showing「updating」means it is being updated. If an Agent remains in either state for a long time, contact your administrator.
Step 6: Assign a Model to the Agent
Path: Left navigation → Management → Model Maintenance → Agent Models
- In the「Agent Models」area, select a Board and locate the Agent created in Step 5 by its Board.
- Assign the model it should use (e.g., DeepSeek-V3).
The model column for the Agent shows the assigned model name. You can click「Switch Model」to change it.
Step 7: Verification
Path: Left navigation → Overview → War Room
- In the Board Group dropdown menu at the top of the page, select the Board Group created in Step 4.
- Confirm that the Agent created in Step 5 appears in the Agent list with a status of「Online」.
- Enter a test message in the bottom input box (e.g.,「Hello」) and click「Send」.
- Confirm that the Agent replies.
The Message Area shows the Agent's reply, and message flows appear in the Timeline Collaboration Matrix.
Tip: After completing the 7 steps above, standard users can log in and see the Board Groups and Agents, and start using them directly in the War Room.
Overview
The Overview module helps you quickly get familiar with the overall functionality of the platform.
War Room
Displays the real-time conversation process among multiple agents within the same Board in the form of a Timeline Collaboration Matrix (swimlane diagram).
The page is laid out from top to bottom as follows:
- Top Navigation Bar: language switching, user menu
- Tab Bar: switch between「Timeline Collaboration Matrix」and「Dynamic Dashboard」
- Board Group Selector: a dropdown menu for selecting the business scenario
- Timeline Collaboration Matrix (swimlane diagram): shows the flow of messages between Agents
- Message Area: shows the full conversation content and Agent replies
- Bottom Input Area: attach files, enter messages, send

Files
Centrally manages files and attachments uploaded to the platform.
Path: Left navigation → Overview → Files
- Upload files: drag and drop files into the upload area, or click the area to select files.
Files appear in the file list with their file names and file types shown.
- Find files: enter a file name in the search box, or filter by「Type」or「Source」.
The file list shows matching results according to the filter conditions.
- File list: shows all uploaded files or files generated by War Room Agents that need to be downloaded.
Note: Attachments can also be added to War Room conversations. If an upload fails, first check whether the file size and type meet the limits shown on the page. If they do not, click「Upload Settings」to adjust the file size and type settings.
Collaboration Resources
The Collaboration Resources module includes Board Groups and Boards.
Note: Board Groups and Boards are linked: one Board Group can be linked to multiple Boards, and one Board can also belong to multiple Board Groups. When creating them, you can create either one first; this guide recommends creating the Board first so it can be linked directly when creating the Board Group.
Board Groups
A Board Group is a multi-step template for tasks, defining which stages a task must go through from start to finish, for example "Order intake → Production scheduling → Manufacturing → Quality inspection → Shipping, with each step handled by a different Agent".
Path: Left navigation → Collaboration Resources → Board Groups
Creating a Board Group:
- Click「New Board Group」.
- Fill in the following information: name (required), description (optional), Board (optional; link a Board).
- Click「Save」to complete the creation.
- The newly created Board Group appears in the Board Group list.
Boards
A Board brings different agents together for collaboration.
Path: Left navigation → Collaboration Resources → Boards
Creating a Board:
- Click「New Board」.
- Fill in the following information: Board name (required), select Board Group (optional), description (required).
- Click「Save」.
- The newly created Board appears in the Board list.

Management
The Management module handles the platform's basic configuration, including organizations, agents, and models.
Organization
Path: Left navigation → Management → Organization
Manage the members, permissions, and basic information of the current organization.
- Number of members, number of Boards, number of pending items.
- Member list: shows all members in the organization.
Agent Workshop
Path: Left navigation → Management → Agent Workshop
Agent Workshop is the core page for creating and managing AI agents.
Creating an Agent:
- Click「New Agent」.
- Fill in the basic configuration: Agent name (required), role (e.g., Generalist), Board (required), emoji, communication style, and interval.
- Click「Save」.
- The newly created Agent appears in the Agent list.
Model Maintenance
Path: Left navigation → Management → Model Maintenance
Configure content related to large language model providers. Only administrators can perform maintenance operations; members have view-only permission.
- Model settings: in the「Model Settings」area, click「Add Model」.
- In the pop-up dialog, select the provider, Model ID protocol, and enter the「API Key」, then click「Add Model」.
- In the「Agent Models」area, specify the model each agent should use; the model column for the Agent shows the assigned model name.
Account & Preferences
User Menu
Click the user icon in the top-right corner to go to the Home page, Settings, official documentation, or to log out.
Account Settings
Caution: Deleting your account may affect a personal organization in which you are the only member. Please read the confirmation message carefully before proceeding.
Forgot Password
On the login page, click「Forgot Password」and follow the on-screen prompts to set a new password. If the page does not provide a reset function, please contact your administrator for assistance.
Language & Theme
- Language: you can switch between Simplified Chinese, Traditional Chinese, English, or Japanese from the language menu on the page.
- Theme: you can switch between light and dark appearance at the bottom of the left menu.
FAQ
Cannot See a Menu
- Confirm the current organization is correct (check from the organization menu at the top).
- Confirm your role (administrator / member).
- Ask the administrator to check your menu permissions and Board Group permissions.
Cannot See a Board Group or Agent
- Confirm you have switched to the correct organization.
- Confirm you have read permission for the corresponding Board Group.
- Agents only appear within the scope of their owning organization and Board Group.
Agent Does Not Reply
- Confirm the Agent is shown as available (ONLINE).
- Confirm the task or message was sent to the correct Board Group / Board.
- Confirm the Board Group the Agent belongs to matches the Board Group you are currently working in.
- Check again later once the live connection is restored.
- If it keeps happening, provide the Agent name, Board Group name, and the time it occurred to your administrator.
War Room Does Not Update Automatically
- Confirm the Board currently selected.
- Wait for the system to reconnect.
- Reload the page.
- If messages only appear after reloading, please provide the time of occurrence and the environment URL to the administrator.
Upload Failed
- Check the file size and type limits shown on the page.
- Select the file again and try once more.
- If it still fails, provide the file name, size, and the page error message to your administrator.
A War Room Agent Shows「Offline」
Troubleshoot by following the steps below in order:
- Send a message in the Message Area to wake it up, for example "@all test connectivity, please reply ok".
- Confirm the provider's API Key is valid and has sufficient balance.
- If it still cannot come online, try clicking「Restart Gateway」on the Model Maintenance page.
Need Further Assistance
When contacting your administrator, please provide the following information so the issue can be quickly identified:
- The time and time zone of occurrence
- The page you were on
- The organization, Board Group, Board, or Agent name
- The error message displayed on the page
- The steps you took that can be safely shared
